In Xola, you can manage experience schedules with impressive flexibility—perfect for adapting to both routine operations and one-off requests. Whether your business uses regular, repeating schedules or custom-built calendars, there are times when you need to quickly add a unique, single-event timeslot for a special occasion or last-minute reservation.
That’s where the Timeslot on the Fly feature shines: right from the Make a Purchase workflow, you can easily create a one-time slot for a specific date and time, set its capacity, and open it up for reservations—without needing to adjust the main experience schedule or reconfigure other slots.
This powerful tool lets you seamlessly accommodate VIP guests, special events, or unscheduled demand, ensuring you never miss out on revenue and can respond instantly to customer or operational needs while keeping your main offerings intact.
User Access: Administrator, Reservationist or Reservationist Lite roles have access to add Timeslots on the Fly during the Make a Purchase workflow.

How to set up a Timeslot on the Fly
- Click the green +Make a Purchase button and select the experience you want the new timeslot for.
- Under the date and time fields, click the +Add a new time.
- In the window that appears, pick the date and time of this new event, adjust the capacity to how many you want to have on this event, and click Create.
- Continue with the reservation as normal.
You can also add Timeslots on the fly when Changing the Arrival or Switching Experiences for a guest.
Once you open a Timeslot on the fly, it will be available for the public to make reservations on. This will show on your backend and front-end checkout.
How to Delete a Timeslot on the Fly
- If you created a Timeslot on the fly in error or it's no longer valid, navigate to the time slot in the dashboard.
- Provided that no purchases have been made, you can click into the time slot and click the Delete button that will appear in the action bar.
- If you want to know who created the Timeslot on the fly, you can hover over the clock icon that appears to the right of the experience photo.
