When you add a user to the User section of your Account Settings, you must give that user one or more roles. Each role has different permissions. Below is a description of each access role and the different privileges associated with each one. Feel free to mix and match roles!
Role Permissions
Administrator
Tabs accessed: Dashboard, Purchases, Customers, Products, Resources, Reports, Marketing, App Store, and Settings.
- Admins have complete access to an account.
- Can create/modify purchases, modify products, access financial data, control equipment, add new users, and access all settings.
Curator
Tabs accessed: Products
Tabs inaccessible: Dashboard, Purchases, Customers, Resources, Reports, Marketing, App Store, and Settings.
- Can only create/modify products. That's all!
- If, for example, you want your Reservationist to be able to edit product schedules, you could add this user as a Curator + Reservationist.
Reservationist
Tabs accessed: Dashboard, Purchases, Customers, Products, App Store, and Settings (Preferences and Languages).
Tabs inaccessible: Inventory, Reports, Marketing
- Can create/modify bookings and view the dashboard, rosters, and customer records.
- Can issue refunds and adjust trip capacity.
Reservationist Lite
Tabs accessed: Dashboard, Purchases, Settings (Preferences and Languages).
Tabs inaccessible: Customers, Resources, Reports, Marketing.
- Can create/modify bookings but without refund privileges or ability to adjust trip capacity.
- Can update questionnaire responses.
Guide Manager
Tabs accessed: Dashboard.
Tabs inaccessible: Purchases, Customers, Resources, Reports, Marketing, and Settings.
- Can assign Guides to trips.
- Can assign themselves to trips.
- In the mobile app, Guide Managers can collect balances.
Accountant
Tabs accessed: Purchases, Reports.
Tabs inaccessible: Dashboard, Customers, Resources, Reports, Marketing, Settings.
- Can view the Transactions Report (including Xola payouts) as well as all reports in the Reports tab (Affiliate Commissions, Analytics, Earnings Report, Payouts Report, and Gifts).
Guide
Tabs accessed: Dashboard, Settings.
Tabs inaccessible: Purchases, Customers, Resources, Reports, Marketing.
- Can be assigned to trips by Guide Managers.
- Guides can access their assigned trips and rosters in the Dashboard, which is available in List and Calendar View.
- Guides cannot modify customer information or trip notes.
- Guides can access the Settings tab to set language preferences.
- Guides can also access their schedules through the Xola mobile app by signing in with their user name and password.

Marketer
Tabs accessed: Customers, Marketing, Settings (Button Code and Languages).
Tabs inaccessible: Dashboard, Purchases, Resources, Reports.
- Can create/modify book now buttons and access the code needed to add buttons to a website.
- Can create/edit coupon campaigns as well as Abandoned Reservation Recovery settings and Conversion Tracking
