It enforces your custom ticket expiration and validation rules automatically, helping prevent fraud, reduce human error, and ensure a smooth check-in experience for your guests.

The Xola Redemption App is available for both Apple and Android devices and is designed to support fast, accurate, and secure check-ins for any type of operation.

How to Set Up Ticket Redemption on Xola
Install the Ticket Redemption App
- Go to the App Store tab in the left-hand menu of your Xola account.
- Find the Ticket Redemption tile and click it.
- Click Install to activate it.
Install the QR Code Scanning App
- Still in the App Store, locate the QR Code Scanning tile.
- Click the tile and then click Install.
(Optional) Install the Apple Wallet Passes App
- For a polished guest experience, install the Apple Wallet Passes app.
- This will automatically send guests a personalized Apple Pass after they make a reservation, allowing them to store and access it from their Apple Wallet.
Enable Check-In in Global Settings
- Navigate to Products > Global Settings > Check In.
- Toggle Check-In to the ON position.
You can skip the "Set Up Check-In Preferences" section if you're okay with one check-in per scan and don’t need to control when guests can check in. Xola will automatically alert you if a guest is checking in too early or too late when their QR code is scanned.
Set Up Check-In Preferences
You can customize check-in settings per experience if you’d like more control, such as allowing multiple check-ins, setting specific days/times for check-in, or creating expiration rules.
Here’s how:

Go to Products > Experience

Hover over the experience you’d like to configure and click Edit

In the left-hand menu, click the Check-In tab
-
Toggle on Override Global Check-In Settings
-
Then toggle on Require Check-In
This enables check-in for that specific experience and allows you to define custom validation rules like:

Allowed check-in days
-
Time windows
-
Expiration periods for when the check-in is no longer valid
Note: To use the Ticket Redemption feature, you must:

Have both the Ticket Redemption and QR Code Scanning apps installed

Enable Check-In under Global Settings
Set up QR Codes in Experiences
Once both apps are installed from the App Store you can set up your experiences to accommodate the QR scanning.
- Go to Products > Experiences, hover over the experience, click Edit.
- On the left-hand side go to Tickets.
- Choose how you want the QR code to appear to the guest:
- One ticket per group/party: One QR code covers the entire reservation (e.g., a group of 5 gets one scannable code).
- One ticket per guest: Each guest receives their own QR code, and each must be scanned individually.
Note: This setting is specific to each experience. You can choose which experiences use ticket redemption.
Set Up Users:
Admins & Primary Account Owners

These users automatically have access to the Xola Redemption App. No additional setup is required.
Agents
To allow Agents to redeem tickets via the app:

Go to Distribution> Agents

Edit an existing Agent or click to create a new one
(See: Agent Management)
Toggle Login Access ON and click Save
If you do not see the login access toggle, contact Xola Support to enable Agent User Login for your account.
Once login access is granted, Agents will receive a Set Password email and can then log into the Xola Ticket Redemption App on their phones.

Open the App Store on your iPhone

Search for “Xola Redemption”

Tap Install to download the app

Once installed, open the app

Log in using your Xola credentials

You must be a Primary or Admin user

Want an Agent to access the app? You can set up an Agent user with login access

How to Use the Xola Redemption App
Once the Xola Redemption App is installed and you're logged in, follow these steps to scan and check in guests.
Scan a QR Code

Open the Xola Redemption App on your phone.

Tap Scan Code.
-
The app may ask for camera access — tap Allow.

Ask the guest to show their QR code from their phone or printed confirmation email.

Hover your phone over the QR code to scan.
Manually Look Up a Guest Without a QR Code
If a guest doesn't have access to their QR code or didn’t receive their confirmation email, you can still check them in manually:

On the main Screen, tap the Manual Lookup button at the bottom of the screen.

Enter the guest’s name, email, phone number or purchase ID to find their reservation.

Once located, tap into the reservation to view details and complete check-in just like you would after a QR scan.
This is a great fallback for guests who arrive without their confirmation or are unable to retrieve it on-site.
After Scanning a QR Code
Once a reservation is scanned, you’ll see a detailed view of the reservation with the following options:

Check In the reservation

Reject the check-in
-
Note: Rejecting a guest does not permanently block the check-in. You can still check them in later.

View Attendees’ Names

View Party Size & Check-In History

See Add-Ons Purchased
-
Unsigned Waivers (if applicable)

Tap the red Unsigned Waivers link to generate a QR code that guests can scan to complete their waiver. Once signed, waivers will automatically link to the reservation.

When done, tap Scan Now to scan the next guest, or return to the main menu.
If a Guest Is Late or Already Checked In

If a guest is late or early, Xola will alert you when you scan their code.

If a guest has already been checked in, you’ll see a message noting their prior check-in.
If you’ve enabled Enhanced Check-In Preferences, these messages will follow the validation rules you’ve configured.
View Check-In Status in Xola
After scanning a guest in with the app:

You’ll see their check-in status reflected in your Dashboard and Purchases tab.

The Timeline tab on the reservation will also show a record of the check-in.
Additional App Features
Tap the menu icon (☰) in the top left corner to access:

Guest Count

See how many guests have been checked in today.

See how many guests have been scanned most recently. You can choose to reset the count for the most recent check-ins.
