Pricing preference

Xola's Pricing Preferences allows you to set up your experience pricing in a way that matches your business needs. Whether you want to offer group discounts, tiered pricing, private outings, or more, this section lets you customize all your pricing preferences in one spot.


What's covered in this article:


  1. To get to your pricing preferences navigate to Products> Experiences
  2. Here you can choose to add a new experience and set up pricing or you can edit an existing experience and go to the left-hand menu and click Pricing

Experience Types

These options allow you to choose if your customer will be on a public trip and share the experience with other people, a private trip in which they will be the only group on the experience, or Public or Private which the customer can choose which they would like to do at the time of checkout. 

  • Public Experience: Different groups may attend the same event.
  • Private Experience: Only one group may attend the event.
  • Public & Private Experience: A group may electively choose a private or public experience at the time of purchase.

Note: Private events will only allow one group per timeslot. You can however turn on Mulitple Private Events and allow more than one group to book a single time if you have equipment available to do so. To learn more click here. 

Demographics

Now, to set up demographics you will click Add Demographic and select a Global Demographic or select Create Demographic and input the following:

    • Name: You can use one of our default demographics, such as Adults or Children, or you can type your own in the text field (make sure to hit Enter on your keyboard to save it).
    • Caption: If you'd like, add an optional caption for that demographic that will be shown to your customers at checkout.  For example, if the demographic is children, you may want to add a caption such as "14 and under".Demographic_.gif

Tip: To edit a demographic, simply click the pencil icon. 

Pricing Structure

Public Pricing

Flat Pricing

With Flat Pricing, the total number of people booking has no impact on the price. Whatever you have set for the demographic price will be the cost.Screen_Shot_2022-10-03_at_4.13.45_PM.png

Tiered Pricing

With Tiered Pricing, the price you charge changes when group size thresholds are passed, this could be a markup, markdown, or final price. You could also do a $ amount or % of the demographic amount. 

  1. Click the +Add Tier button
  2. Put the group size that the pricing will apply to. This is greater than or equal to the number you set
  3. Configure the price for each demographic. 
    • Markup: Price increases by the amount set. 
    • Markdown: Price decreases by the amount set. 
    • Final Price: Price set to show as the price for that tier. 
  4. Click Save.
  5. Continue to add as many tiers as desired for this experience. 

Note: Your customers are able to use coupons at checkout when you use tiered pricing.

Private Pricing

Per Person vs. Per Outing Pricing

You have the option for your listing to be priced either per person or per outing.

  • Per Person pricing will change the total price based on the number of individuals booking.
  • Per Outing, pricing is a private experience at a single price, regardless of the number of people that are booked.
  • The pricing can be flat or tiered, based on group size and the preferences you set.

Flat Pricing

Tiered Pricing

  2. The first tier will have you create a base price for each demographic or per outing. 
  3. Put the group size that the pricing will apply to. This is greater than or equal to the number you set
  4. On the second tier configure the price for each demographic or per outing price. 
    • Markup: Price increases by the amount set. 
    • Markdown: Price decreases by the amount set. 
    • Final Price: Price set to show as the price for that tier. 
  5. Click Save.
  6. Continue to add as many tiers as desired for this experience.

Note: It is best to make updates to your pricing outside your normal or busy business hours as your team will need to log out of and back into Xola to make bookings after pricing changes are made on your account.

If Private and Public Experience is selected, how it works: 

For back-office purchases:

  1. During the Make-a-purchase process, select an experience that has private booking enabled.
  2. At the top of the page, select Public or Private. After selecting this option, only timeslots that can take the option you chose will appear. 
  3. If the experience has been configured with a different price for Private pricing, those pricing rules will apply.

For checkout purchases:

On the booking details page of checkout, customers will see a new section labeled "Expereince Type" There will be two options presented:

  • Public
  • Private

Depending on which option is selected, the available dates/times in the calendar will update accordingly (private reservations are only available for events with no previously placed reservations). Any checkout price messaging that has been configured will also update dynamically to reflect the private or public price.

Switch a purchases type:

  • After a public or private purchase has been made, you have the option to switch it to the other type. This option can be found on the Purchases tab, on the modification ribbon at the top.
  • When choosing to switch a purchase from public to private, only events that do not have a booking on them yet will appear as available. 
  • Any pricing differences that have been configured will be applied when changing an experience type.

Guest Limits

Reservation Limits:

  • The Per Reservation Minimum is the minimum number of people who must purchase a timeslot at once.
  • The Per Reservation Maximum is the maximum number of people who can purchase a timeslot at once.
  • For Example:
    • A Kahekili's Leap Cliff Hanging - 3 Hours experience sells tickets for a minimum of one guest at a time.
    • The Kahekili's Leap Cliff Hanging - 3 Hours accommodates up to 30 guests, but only a maximum of 20 people can book together in one transaction.

Per Outing Limit: 

  • The Per Outing Minimum sets the rule for the number of people who must purchase the event in order for a timeslot to be confirmed.
  • The Per Outing Maximum is the maximum number of people who can purchase into one timeslot of an experience.
  • For Example:
    • Climb X2 offers a Best of Death Valley & Joshua Tress - 2 Day tour.  The Best of Death Valley & Joshua Tress - 2 Day tour can fit up to 30 guests, but will only confirm the trip if a minimum of 15 guests book. He wants to know at least 4 days prior to a tour whether the minimum has been met or not.

  • If an experience does reach the Per Outing Minimum, all pending bookings for this experience will be automatically accepted (unless Auto-Accept is turned off in your Settings). Credit cards will be charged and confirmation emails will be sent out to those customers.
  • If an event does not meet the Per Outing Minimum by the designated time, Xola will notify you via email. At that point, you can reach out to the customer to reschedule or manually accept the bookings.

Payment Requirement 

Here you will choose one of the following for the experience to show on checkout: 

  • Credit Card payment required on checkout
  • No payment is required at checkout

Down Deposits

By setting up Down Deposits, you provide your customer to pay only a deposit at checkout with the remaining balance due at a specified time. A deposit can be set up as a fixed amount per person or per booking or a percentage of the booking.

You also have the option to automatically invoice customers for the balance due before their arrival or collect their payment manually in person or over the phone. Xola does not automatically collect balances. You can see which purchases have payment due from the Pending Actions Notification Bell within Xola.

Finally, if you want to make it so your customer can only pay the deposit upfront and not have the option to pay the full amount you can do that too.

You can also set up your Self-Service options to allow customers to make payments via invoice for any balance due prior to their experience.
